DIY

We get the cash juggle, so if you need to do your own bookkeeping in the beginning (and marketing and putting out the rubbish), we make sure you’re setup – properly.

We will:

  • Set up Xero and its automated bank feeds, along with a simple chart of accounts (that’s accountant speak for a list of expense/revenue categories)
  • Show you how to reconcile your bank account, including GST tracking
  • Raise customer invoices

Wondering how GST works? We’ve got an FAQ for that.

If you’re registered for GST, you’ll need to lodge a Business Activity Statement (BAS) quarterly. Many of our DIY clients ask us to review the GST treatment in their bookkeeping and prepare and lodge their BAS for them, just to be sure it’s done right. It’s an extra $50/month (to lodge quarterly) – that’s pretty cost-effective peace of mind.

Launch

Includes 100 transactions/month

When you’re ready to launch and need to spend more time on building your product, talking to your customers and delivering your services rather than doing bookkeeping and payroll, we’ve got you covered.

We will:

  • Set up Xero and its automated bank feeds
  • Discuss how you want to manage your finances by setting up your chart of accounts (that’s accountant speak for a list of expense/revenue categories) and how you want to track your revenue in a meaningful way
  • Set up the Receipt Bank App and email-in addresses so you can simply Snap ‘n Send invoices and receipts, along with employee expenses
  • Kick off weekly bookkeeping, and remind you how we ask for clarifications so we can get what we need from you to keep up with things
  • Tell you how we’ll be in touch for your quarterly BAS

Remember, you do your own customer invoicing and monitor supplier bills to be paid.

This is also when you might start to employ people and need our Payroll services. We’re excited!

Go

Includes 200 transactions/month

As you get busier, you’re likely to need us to step up the number of bookkeeping transactions we’re processing for you – to 200 transactions / month. Under our Fair Use Policy, we monitor actual volumes each month and talk to you if we need to increase our support.

We will:

  • Set up Xero and its automated bank feeds
  • Discuss how you want to manage your finances by setting up your chart of accounts (that’s accountant speak for a list of expense/revenue categories), and how you want to track your revenue in a meaningful way
  • Set up the Receipt Bank App and email-in addresses so you can simply Snap ‘n Send invoices and receipts, along with employee expenses
  • Kick off weekly bookkeeping, and remind you how we ask for clarifications so we can get what we need from you to keep up with things
  • Tell you how we’ll be in touch for your quarterly BAS

Things are getting seriously good! You’re growing into a stayup, and you need us to increase the number of bookkeeping transactions we’re processing for you to 400 transactions / month. If you need more than this, no problem – talk to us. Under our Fair Use Policy, we monitor actual volumes each month and talk to you if we need to increase our support going forward.

We will:

And you’re probably transitioning to really managing your business by the numbers too but chances are, you’ll need a CFO to really make this leap. Not a full time one though – that’s too expensive right now. Our virtual CFO (vCFO) services can bridge this gap. We can translate the traditional sea of numbers that you get in a Profit & Loss and Balance Sheet into a visual end-of-month reporting package and combine those insights with an end-of-month review session with you. We’ll discuss your performance from a financial perspective, and talk budgets and financial models so that we can keep an eye on forward cashflows and plan for capital raising.

PAYG

If you’ve got employees, you (or we, as part of our Payroll services) will be taking Pay As You Go (PAYG) tax out of your employees’ pay. This is reported and paid to the ATO, as part of lodging your quarterly BAS.

As your startup grows and hires even more employees, that means more PAYG. The ATO monitors this as part of the quarterly BAS process and at a certain level it asks for PAYG to be reported and lodged as part of an additional monthly Instalment Activity Statement (IAS), between quarterly BAS lodgings.  We charge an extra $30/month for this additional IAS preparation.

Payroll – it’s a boring word for a really exciting stage in your startup journey because if you can afford to pay people, you’re growing! It’s really important to get payroll right, otherwise it can lead to messy complications down the track.

Our payroll processing services cover all aspects of employee management, including:

  • Setting up each new employee in the payroll system
  • Handling employees leaving, including leave payout calculations
  • Processing superannuation quarterly
  • Covering PAYG on BAS/IAS
  • End-of-year payroll processing of group certificates, including preparing and lodging your employer payment summary to the ATO
  • Managing payroll queries

Pricing for our payroll service is:

  • $13/employee/month for up to 5 employees
  • $11/employee/month for 6-10 employees
  • $10/employee/month for 11-20 employees
  • $8/employee/month for 21-30 employees

That’s why our Accounts Payable processing services can cover all aspects of supplier management, including:

  • Setting up existing suppliers for electronic payment
  • Weekly payables run based on the due dates
  • Supplier queries regarding payables (optional)
  • Reconciliation of supplier monthly statements (optional)

Cold hard cash is the lifeblood of most small businesses.

The number one way to improve your cashflow? Make sure you get paid on time for the work you’ve done. But just because you know that doesn’t mean you like chasing your customers for payment, right?

Well, we do. Our Accounts Receivable processing service can cover all aspects of customer management, including:

  • Agreeing processes for customer follow up, including escalation internally or to external debt collectors
  • Weekly customer follow up of all outstanding invoices in accordance with the agreed processes
  • Implementing a chaser.io, which we recommend for higher volume customer follow ups

Your customer management needs will be very specific to your business. Please book a meeting to discuss how we can tailor this service to you and manage your customers on your behalf (without annoying them too much).

Stripe

Additional Service

Many of our startup clients use Stripe for payment processing. Unfortunately, Xero doesn’t support a native feed for Stripe payments, which means within Xero all you see is the periodic sweep of cash received via Stripe without the underlying breakdown of fees. But don’t worry – we work around this by using bankfeeds.io to bring Stripe into Xero so that it can be reconciled properly.

In addition, if you’re dealing with Australian and international receipts, this means that some of your sales should or should not have GST included in the record of sales.
